ROOM RESERVATION PROCEDURES

FORMS

  • Room reservation forms are available for download.
  • There are separate forms for season and off-season bookings. Forms in hard copy are not circulated to members. However, members may request for a fax copy of the required form.
  • All forms must be fully completed and signed and submitted to the Club office only.
  • All forms are in PDF format. These can be opened and filled in directly on the computer before printing out. The download contains an additional sheet for more names and detailed instructions. Please note that the form cannot be submitted online, but must be downloaded, filled in, printed, signed and sent by fax or in hard copy (mail/courier) to the Club.
  • Room reservation requests for both season and off-season can only be made by members. No enquiries as to room availability or other information will be entertained from non-members.

 

OFF SEASON RESERVATIONS

  • Room Reservation forms for off-season may be faxed or sent in hard copy to the Club Office at any time.
  • If a room reservation request is sent by email, it must be followed by a hard copy or fax within 24 hours.Confirmations will not be made on email forms.

 

SEASON RESERVATIONS

  • Room Reservation forms for Season periods (Summer, Diwali and Christmas) must be sent in hard copy only to reach the Club office by the date specified in the Season announcement circular that is sent to all members.
  • Forms, complete in all respects must be sent to:

  • All reservation requests by fax or email will be disregarded for season allotments.
  • Allotments in Season are made strictly according to prescribed guidelines and a priority list. Members applying in Season are advised to read the season allotment page for more information.

 

CANCELLATIONS

  • All cancellations must be communicated to the Club office by hard copy, email or fax. Telephonic cancellations will be disregarded. There is no separate form for cancellations.
  • All cancellations, for the full or part of the period booked, or for fewer rooms/persons than booked, attract applicable cancellation charges.

 

RULES OF CONDUCT, TERMS AND CONDITIONS

  1. GENERAL

    1. Members and guests are required to familiarize themselves with the Club's Rules and Bye-laws, including in particular the Rules of Conduct, before checking in.
    2. The Secretary of the Club is fully authorised to implement and enforce all Rules & Bye-laws, and may suspend or withdraw all services and facilities to members or guests who do not follow his directions in this regard.
    3. Members are responsible for the conduct of their guests.
    4. Submission of the forms is deemed acceptance of the terms and conditions regarding room allotments.
    5. Reservations once confirmed are not transferrable.
    6. Conduct. Members and guests must abide by the Rules of Conduct including as to Dress Code, meal timings.
  2. FULL PARTICULARS ON FORMS

    1. Forms must be complete in all requests, inlcuding names of all visitors, their relationship to the member making the request, ages, meal preferences, the first and last meals at the Club, and contact information.
  3. PERSONAL ATTENDANTS, SERVANTS AND DRIVERS

    1. If you plan to bring a personal attendant or servant, please indicate so on the form. If this is not mentioned, they may not be accomodated.
    2. There is limited accomodation for drivers on a first-come-first-served basis.
    3. The Club does not provide meal services for servants or drivers. Arrangements must be made for their food to be brought from one of the hotels in the market. The Club staff will assist you on this.
  4. PETS

    1. Pet dogs and cats are permitted only in D-block.  Note that veterinarian services are not readily available in Mahabaleshwar, and the forests of the region have an abundance of wildlife, some dangerous. You are responsible for the safety of your pets.
    2. Please carry any special requirements your pet needs: medications, special foods, accessories and attire, etc.
    3. If you are bringing a pet, this must be clearly mentioned in the form. At present, the Club provides basic meal fare for dogs and cats (milk, bread, rice, vegetables, chicken meat or mutton).
    4. Members are responsible for all and any damage done to Club property by their pets. These charges will be assessed and billed and must be paid without protest before check-out.
    5. On the main golf course, pets must be on a leash/lead to avoid inconvenience to walkers and golfers.
  5. CHECK IN AND CHECK OUT.

    1. The check-in time is 1200 hrs. The check-out time is 0900 hrs. If the room/s is/are not vacated at check-out (keys must be handed over to the Club Staff at the check out desk), the Secretary or, in his absence, any official of The Club, in the presence of two other club employees, is entitled to open the room, remove any possessions or belongings threin and store them for a reasonable period until they are claimed by the member.
  6. CLEARANCE OF BILLS

    1. All bills must be cleared at check-out before departure.
    2. Payment may be made by credit card (Visa and MasterCard only), cash or cheque drawn on a Mumbai bank. Note that all credit card payments, other than those by a ICICI-issue card, are subject to a 2% surcharge.
    3. Tariff. The Club tariff includes full board and stay, and included extras (morning/evening tea/coffee, daily newspapers, etc). Sundries, such as soft drinks, bottled water, snacks, must be paid at actuals and are included in the bill to be cleared at check-out. The Club tariff is subject to change without notice.
    4. Guest Charges. The tariff page has information on guest charges.
      1. Members are responsible for the dues incurred by their guests.
      2. For guests not accompanied by members, the applicable charges must be paid in full, for all days of stay, before arrival. Deposits may be made by cheque or cash in any branch of ICICI bank (see Guest payments by bank deposit, below).
      3. For guests accompanied by members, the guest charges must be deposited in full either in advance at ICICI bank, or at the Club office at the time of check-in, or cleared by credit card or member's Mumbai cheque at the time of check-out.
    5. Advance payments by bank deposit.
      1. Payments in full (required for guests unaccompanied by members) may be made by cash or cheque deposit to any branch of the ICICI Bank. Deposit forms are available with the Club Office and are invariably sent by the Club Office along with confirmation of guest reservations. Additional forms may be requested from the Club Office.
      2. Counterfoils/receipts of advance deposits made at ICICI Bank must be faxed to the Club in advance and the originals must also be submitted to the Club before check-out. If this is not done, no credit will be given and the full bill amount will be required to be paid at check-out; a refund cheque will be issued after the advance deposit receipts/counterfoils are received by the Club office and subject to bank confirmation of realisation of the advance deposits.
